Rush University Medical Center is seeking a dynamic and collaborative*_Administrative Coordinator_*! **
The individual provides administrative oversight for the day-to-day activities of the Dean of the Graduate College. Individual assists the Dean in managing the daily activities in the Office of the Dean. Individual serves as the primary contact for internal and external constituencies on all matters pertaining to the Dean of The Graduate College. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.
Position Responsibilities Include:
Serves as primary administrative assistant to the Dean (pre and post-travel documentation; meeting minutes, agendas, materials, and report compilation.
Serves as the primary greeter for internal and external customers for facilitation of Graduate College business.
Manages active calendar of appointments for the Dean (coordinates and ensures Dean’s schedule is followed and respected, provides arrangements for webinar meetings) .
Coordinates room assignments for Dean’s Office/Graduate College conference room.
Coordinates special projects, to include but not limited to, institutional grant applications, web-based resources, and project management.
Coordinates storage of Dean’s electronic and paper records and maintain college database.
Initiates and submits subscriptions, memberships, invoices, purchase orders, and cost reimbursements.
Compiles information to assist in the transformation and maintenance of the Graduate College website in collaboration with the Graduate College Business Administrator and marketing personnel.
Provides support for general office administration – orders supplies, organizes and maintains storage areas.
Coordinates repairs and maintenance of office equipment.
Answers phone calls and responds to requests for information.
Position Qualifications Include:
Bachelor’s degree required.
Three or more years of administrative experience in an academic medical center is required
Excellent organizational skills and strong oral and written communication skills
Proficient with MS Office software, including Excel, Prism (or equivalent), program management, database management, and graphic software
Ability to work independently and demonstrates the ability to work effectively with a diverse group of people including faculty and staff
Ability to exercise judgement and discretion when working with confidential information/situations
Ability to maintain expected level of customer service and ability to maintain professional decorum
Ability to prioritize, multitask and re-prioritize using time management skills to expeditiously complete assignments and duties.
