Unit Job Summary
The Associate Director of Operations is an integral part of The University of Chicago Booth School of Business (Chicago Booth) Marketing Department, which consists of the Strategy, Brand, and Digital teams. Chicago Booth is looking for an Associate Director to manage projects and introduce innovative operational strategies in a high performance environment. Under the direction of the Senior Associate Director of Operations, the Associate Director of Operations will be responsible for managing and defining detailed project plans for complex strategic marketing campaigns. This includes driving internal as well as external stakeholders to ensure smooth work progression and completion as projects move through the execution process by creating and maintaining project schedules, tracking and reporting on operational efficiency measures and by supporting effective and efficient cross team resource utilization that supports an increase in customer satisfaction levels.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Work with all teams within Marketing understand project scope and gather project requirements. Create and manage comprehensive project timelines.
Work with all teams within marketing to ensure the organization, collectively, is delivering on the highest priority/highest impact projects by working across teams to proactively resolve prioritization and resource utilization issues.
Serves as a key presenter and facilitator at major project reviews. Ensures meeting actions are documented and communicated.
Establishes goals and objectives required to complete projects. Provides mentoring within program management and leadership to varied project teams and direct reports.
Act as the main point-person throughout the project process for internal Chicago Booth Marketing teams, partners across Chicago Booth, external agencies, creative production partners, and 3rd party vendors.
Consistently and proactively use Key performance indicators, available reporting, and operational knowledge to evaluate and evolve Marketing's operational processes using the department's project management software.
Ensure templated project timelines, project management processes and team's use of tool reflects project management best practices and marketing's operational processes.
With assistant director, monitor operational reports to proactively solve for prioritization and resource allocation concerns.
Oversee and manage operational initiatives. Identify areas of operational improvement, create timelines considering key stakeholders, and manage implementation and post-launch tracking.
Establish KPIs used to evaluate efficacy and efficiency of ongoing vendor relationships.
Assist the Senior Associate Director of Operations in training and supporting the Assistant Director of Operations in his/her role. Assist the Associate Director of Operations in identifying areas of growth and expansion of knowledge for Assistant Director of Operations.
Act as back-up for the Senior Associate Director.
Bachelor's degree required.
At least five years of experience in a project management position or role in marketing, client facing, and/or a creative role required.
Past experience in marketing or agency environment preferred.
Demonstrated ability to be highly responsive, manage multiple projects simultaneously, understand priorities and resource utilization, address identified problems, meet deadlines and respond to urgent needs while building and sustaining strong working relationships required. Creativity, resourcefulness, and adaptability required. Clear, concise and effective communication skills (verbal and written) required. Demonstrated commitment to continuous process improvement and ability to solve problems creatively required. Ability to broker relationships and actively manages people's expectations in proactive ways required. Strong presentation skills/capable of representing the marketing team in front of senior leaders required.
Solid working knowledge of project management software such as Workfront preferred.
