Unit Job Summary

Reporting to the Assistant Manager of Special Programs the Student Account Representative is primarily responsible with providing administrative support for Student Account Services. This specifically includes administrative and customer service support for Third Party Contract Billing, Laboratory School Billing, Payroll Deduction and Remission processing.

Core Duties:

Third Party Contracts 30%:

  • Supports all third party contract-related functions such as reviewing and authorizing third party contract accounts.

  • Generates and sends bills via email for current and past-due balances, processing of payments and allocations;

  • Customer service - communicates with agencies, sponsors, third parties and students via telephone, email, and walk-in inquires; researches and resolves all third party contract account problems, maintains agency spreadsheet and contact information.

Payroll Deduction Plan and Lab School Monthly Payment Plan Programs 30%:

  • Provide general overall program information and support to plan applicants.

  • Setup and maintain accounts for parents, faculty, staff, and students.

  • Process payroll feeds and other financial transactions; assist in reconciling accounts.

Laboratory School Billing and Payment Services 30%

  • Provide support for processing charge, payment and late fee files.

  • Provide Customer Service for Billing and Payment Families.

  • Assist in communication generation for bills and special communications. Other Student Account Services 10%:

  • Process late payment fee waivers for campus divisions and departments.

  • Apply Mandel Student loans to individual student accounts.

  • Other duties and projects as assigned.


High School Diploma required.


Knowledge of Windows applications, including Word and Excel is a plus. Excellent verbal and written communication skills; excellent interpersonal skills with an aptitude for customer service; ability to manage public contacts with tact and courtesy; mathematical and analytical aptitude; ability to make independent judgments consistent with University of Chicago policies and procedures, and federal, state, and local regulations; ability to organize and prioritize workload. Experience with Campus Solutions a plus.


Three to five years of experience in student financials/customer service/accounting preferred.
