We are looking for an Executive Assistant to provide professional administrative and secretarial support to Executive team.

Job Responsibilities

  • Composes correspondence requiring knowledge of executive’s views, philosophy, and some understanding of technical matters

  • Creates all written and electronic communication including letters, memos, spreadsheets, power point presentations etc. and distributes appropriately after signature of approval

  • Fields incoming telephone calls for executive team to personally service and facilitate communication (i.e. answers questions, sets appointments, confirms meetings, etc)

  • Sort, organize and eventually file incoming correspondence and internal reports. Locates and attaches documents that require the personal attention of the executive. Summarizes content of incoming materials, information, or meetings to assist executive

  • May sign for executive when technical or policy content has been authorized

  • Notes commitments made by executive during meetings and arranges for staff implementation

  • Act as a “Customer Service Representative” for requests from the executive dept. Ensure customer is effectively and efficiently served and is delighted with our performance.

  • Treat all confidential information with the highest degree of professionalism and confidentiality and performs administrative functions based on understanding of company policy

  • Summarizes content of incoming materials, information, or meetings to assist executive. Reads outgoing correspondence for executive approval and alerts writers to any conflict with the file or departure from policies.

  • Make travel arrangements, including air travel, hotel and car rental. Complete expense reports and process for signature

  • Responsible for ordering and maintaining stationary supplies

  • Educate/train self on the use of various software as to optimize efficiency and outcomes of projects

  • Coordinate in-house meetings including room reservations and set-up

  • Manage PTO and other benefit related requests for personnel within the Dept

  • Arranges for staff members to represent organization at conferences and meetings

  • Establishes appointment priorities, or reschedules/refuses appointments or invitations

  • Execute special projects

  • Performs other duties as assigned

Job Qualifications

  • High school diploma or equivalent; Bachelor’s degree preferred

  • 10+ years of administrative assistant/executive assistant experience

  • Ability to handle confidential matters

  • Excellent communication, interpersonal and analytical skills

  • Strong attention to detail, organization and planning skills

  • Ability to anticipate needs and use sound judgment, resourcefulness and tact

  • Ability to effectively manage multiple priorities with competing deadlines
